The Exclaimer Cloud Signature Update Agent (CSUA) allows you to synchronize signatures directly with the user's Outlook on Windows and apply a signature to emails before the email is sent, also known as Client-Side deployment.

How are signatures synchronized with Outlook?

The CSUA runs in the background of the user's device and synchronizes the signatures from Exclaimer with Outlook at regular intervals.

How often are signatures synchronized to Microsoft Outlook?

The CSUA synchronizes signatures once every hour. You can re-synchronize manually by closing and re-opening the CSUA. For Windows users, end the program in Task Manager, then re-open it to automatically perform a sync.

What is the user's experience in Outlook?

When a user composes an email in Outlook, the first applicable signature is applied to the email and is visible before sending.

NOTE: The CSUA synchronizes signatures in the order they appear on the All Signatures list. This means that the signature applied by the CSUA is the first applicable one in the list. To adjust this, you can re-order your signatures.

How does Exclaimer Server-Side configuration handle messages where a synchronized signature has already been applied in Outlook?

When using both Client-Side and Server-Side setup, the email is routed to Exclaimer after sending, even when CSUA has already applied a signature. Exclaimer uses a 'text match' check which determines whether a message already has a signature present. If a Client-Side signature is detected, Exclaimer does not apply a Server-Side signature and the message is then sent on to the recipient.

Can users edit their signature in Microsoft Outlook?

Yes, because users can see the signature applied by the CSUA before sending, it is a part of the email body and could be edited or removed.

Using Exclaimer's settings, you can choose to 'lock' access to signature options in Microsoft Outlook to prevent users from adding, removing, or overwriting a signature. You can also remove any existing signatures in Outlook to prevent users from choosing a different signature. For more information on these settings, see Outlook Signatures - Options.

What systems are supported by Exclaimer Signature Update Agent?

The CSUA supports Windows 7 through to Windows 11.

The agent only works with Microsoft Classic Outlook, and does not work with New Outlook or the Outlook Web App (OWA). To apply client-side messages in these platforms, we recommend using the Exclaimer Outlook Add-In.
